1. Welcome to ACE Portfolios
These Terms of Service outline how ACE Portfolios ("the Platform") works and what you can expect from us. By using the Platform you're agreeing to these terms, which we've kept as clear and fair as possible. They apply to all users, including Candidates, Assessors, Internal Quality Assurers, External Quality Assurers, Administrators, and Super Administrators.
2. What We Do
ACE Portfolios is a digital portfolio management platform designed for vocational education providers. We help you manage candidate enrolment, evidence collection and mapping, assessment planning, internal and external quality assurance, and qualification tracking, all in one place.
3. Your Account
Your account is set up by your organisation's administrator. To keep things secure:
- Please keep your login credentials private and don't share them with others.
- Multi-factor authentication is enabled to add an extra layer of protection.
- If you ever suspect someone else has accessed your account, let your organisation administrator know as soon as possible.
4. Using the Platform Responsibly
We trust our users to use the Platform professionally. We ask that you:
- Only upload genuine evidence and documentation relevant to your qualifications.
- Respect other users' accounts and data.
- Use the Platform for its intended purpose, managing vocational portfolios.
- Don't upload harmful files or content that infringes on others' rights.
5. Your Data Belongs to You
Your organisation retains full ownership of all data uploaded to the Platform, including candidate evidence, assessment records, and supporting documents. We act as a data processor on behalf of your organisation and will never use your data for anything other than providing the service. You can export your data at any time.
6. Availability & Reliability
We work hard to keep the Platform running smoothly and aim for 99.9% uptime. If we ever need to carry out maintenance, we'll let you know in advance. While we can't guarantee completely uninterrupted service, we'll always do our best to minimise any disruption.
7. Intellectual Property
The Platform's design, features, and technology are the property of ACE Portfolios. When your organisation subscribes, you receive a licence to use the Platform for its intended purpose throughout your subscription period.
8. Account Changes
Your organisation administrator can adjust or deactivate accounts as needed. If an account is deactivated, access will stop but data will be retained in line with our Privacy Policy and any applicable regulatory requirements, so nothing is lost unexpectedly.
9. Liability
We stand behind the quality of our Platform, but like any service, there are limits to what we can be responsible for. Our liability is capped at the fees your organisation has paid in the preceding 12 months, and we're not liable for indirect or consequential losses beyond our reasonable control.
10. Governing Law
These Terms are governed by the laws of England and Wales.
